Event IT is the data controller for the processing of the personal data we collect about you:

This means that we are responsible for ensuring that your personal data is processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR).

In this privacy policy you can read:

  • which personal data we process
  • why we process it
  • how long we store it
  • which rights you have

If your relationship with us is not covered by this policy (for example, if you are employed by us), you will receive separate information.

1. What is personal data

Personal data is any information that can be attributed to a natural person.

This may include, for example, name, address, e-mail, phone number, IP address, payment details, photos or information about your use of our website and systems.

2. Data protection

We protect your personal data and only process it when we have a legal basis for doing so.

We do not collect more data than necessary, and we only store it for as long as required for the purpose for which it was collected.

We have implemented appropriate technical and organisational security measures to protect your data against unauthorised access, loss, alteration or disclosure.

3. Where your data comes from

As a general rule, we collect data directly from you, for example:

  • when you visit our website
  • when you sign up for or use our system
  • when you contact us
  • when you subscribe to our newsletter
  • when you enter into an agreement with us

4. When you use our system

When you purchase or use our system, we process data such as:

  • name
  • address
  • e-mail
  • phone number
  • job title
  • company name and CVR (business registration) number
  • payment details

The purpose is to deliver our services, manage the customer relationship, process payments and provide support.

The legal basis for processing is the performance of a contract (GDPR art. 6(1)(b)) and our legitimate interest in operating and managing our business (art. 6(1)(f)).

We store the data for as long as the customer relationship exists and thereafter to the extent required by the Danish Bookkeeping Act or in order to document legal claims.

5. When we act as data processor

When our customers use Event IT to manage registrations, participants and events, we process personal data on behalf of the customer.

In that situation, the customer is the data controller and Event IT is the data processor.

The processing is governed by a data processing agreement, and we only process data according to the customer’s instructions.

6. Customer service and support

When you contact us for support or customer service, we process:

  • your contact details
  • the content of your enquiry

The purpose is to respond to your enquiry and assist you.

Legal basis:

  • contract (GDPR art. 6(1)(b))
  • legitimate interest in being able to respond to enquiries (art. 6(1)(f))

Data is deleted when it is no longer necessary for the purpose.

7. Disclosure of data

We use external suppliers for, among other things:

  • hosting
  • payment solutions
  • communication
  • IT operations

When we use suppliers, we enter into data processing agreements where relevant.

We prioritise suppliers within the EU/EEA.

In certain cases, data may be disclosed to, for example:

  • banks
  • debt collection agencies
  • auditors

8. Transfers to third countries

We strive to process personal data within the EU/EEA.

If data is transferred to a country outside the EU/EEA, we ensure that a valid transfer basis is in place, such as the European Commission’s standard contractual clauses.

9. Newsletter

When you subscribe to our newsletter, we process:

  • name
  • e-mail address
  • information about opens and clicks in the newsletter

The purpose is to send you news, information and marketing.

The legal basis for processing is your consent (GDPR art. 6(1)(a)).

You can withdraw your consent at any time by unsubscribing from the newsletter.

10. Social media

When you follow or interact with us on social media, we may process:

  • name
  • comments
  • likes
  • messages

We use the data to communicate with you and to market Event IT.

The legal basis for processing is our legitimate interest (GDPR art. 6(1)(f)).

Social media platforms also process data as independent data controllers. You should therefore read their privacy policies.

11. Use of photos

We may use photos from events, trade fairs or other occasions where Event IT participates.

Photos are only used if we have a legal basis, such as consent or legitimate interest.

If you would like a photo removed, please contact us.

12. Suppliers and business partners

When we work with suppliers and business partners, we process ordinary contact details such as:

  • name
  • e-mail
  • phone number
  • job title

The purpose is to manage the business relationship.

The data is deleted when it is no longer necessary.

13. Recruitment

If you apply for a job with us, we process the information you send to us, for example:

  • application
  • CV
  • any attachments

The purpose is to assess your application.

The legal basis for processing is our legitimate interest in recruiting employees (GDPR art. 6(1)(f)), or consent if we keep your application for longer.

As a general rule, applications are deleted no later than 6 months after the end of the recruitment process, unless you have consented to longer storage.

14. Cookies

We use cookies on our website.

Cookies are used, among other things, to:

  • ensure the website functions correctly
  • compile statistics on usage
  • improve the user experience

15. Your rights

Under data protection law, you have a number of rights.

Among other things, you can:

  • request access to the data we process about you
  • have inaccurate data corrected
  • have data deleted
  • have processing restricted
  • receive a copy of your data (data portability)
  • object to processing

If the processing is based on consent, you can withdraw your consent at any time.

16. Complaints

If you are dissatisfied with our processing of your personal data, you can lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
