Terms & Conditions

These terms and conditions apply to the use of the platform, which is operated by:

The terms apply to:

• organisers who use the system to manage events, registrations and ticket sales
• participants or ticket buyers who make purchases through the system

Event IT provides an online ticketing, registration and payment system for organisers.

Event IT acts solely as a technical platform and intermediary between the organiser and the participant/ticket buyer. Event IT is not a party to the agreement between the organiser and the participant.

The agreement regarding participation in an event or the purchase of a ticket is therefore entered into directly between the participant and the organiser. The organiser is responsible for the content and delivery of the event and for any refunds.

Event IT is not an event organiser and assumes no responsibility for the staging of events.

2.1 Payment

Payment via the platform can be made using the payment methods offered by the organiser, typically payment cards and MobilePay.

All communication between the user and the payment system takes place via an encrypted connection. Card details are processed directly by the payment provider, and Event IT has no access to this information.

The payment is charged when the purchase is completed.

2.2 Delivery

Tickets and receipts are delivered electronically to the e-mail address provided at the time of purchase.

Tickets can also be downloaded directly after completed payment.

It is the participant’s responsibility to save or print their ticket.

Event IT does not replace lost tickets.

2.3 Refunds and cancellation

If an event is cancelled, the organiser is responsible for refunding tickets.

Event IT does not refund ticket fees, registration fees or payment fees.

All enquiries regarding the event, including changes, cancellation or complaints, must be directed to the organiser.

2.4 Right of withdrawal

Under the Danish Consumer Contracts Act, there is normally no right of withdrawal for the purchase of tickets to events.

Any fees are non-refundable.

2.5 Memberships and automatic renewal

When purchasing a membership, the organiser may offer automatic renewal.

If automatic renewal is selected, the member receives an e-mail before the renewal is carried out.

A receipt is sent after completed payment.

Automatic renewal can be cancelled at any time via the link in the receipt e-mail or in the e-mail sent before renewal.

Cancellation only takes effect from the next renewal.

3.1 Access to the system

Organisers are given access to an organiser profile from which events, participants and tickets can be created and managed.

The number of administrators and features depends on the chosen subscription.

3.2 Subscription

Use of the system may be subject to a subscription.

Subscriptions renew automatically at the end of the subscription period unless the agreement is terminated.

The notice period is, as a general rule, the current month plus 3 months, unless otherwise agreed.

A free trial period may be offered upon first sign-up.

3.3 Payment and fees

All prices are stated in Danish kroner (DKK) and exclusive of VAT.

The organiser pays any subscription fees as well as fees for ticket sales and payment transactions in accordance with the standard price list in force at any given time.

Fees can either be paid by the organiser or passed on to the participant.

3.4 Payout of ticket revenue

Revenue from ticket sales is paid out to the organiser less applicable fees.

Payout normally takes place three banking days after the end of the event.

Event IT may withhold up to 10% of gross revenue to cover fees, refunds or other claims.

3.5 Cancellation and refunds

If an event is cancelled, the organiser is responsible for refunding the participants’ payments.

Event IT can provide technical assistance with refunds, but any payment fees are borne by the organiser.

3.6 The organiser’s responsibility and legality

The organiser is responsible for ensuring that the event and all related activities comply with applicable law.

This includes, among other things, rules regarding permits, safety, the serving of alcohol, copyright, marketing and other relevant regulatory requirements.

Event IT assumes no responsibility for the legality or staging of the event.

3.7 Use of the system

The organiser may not use the system for activities that are illegal or in breach of applicable law.

Event IT reserves the right to reject or remove events deemed to be in breach of these terms.

The organiser is responsible for the accuracy and legality of all information published through the system.

Event IT provides support to organisers via e-mail and telephone.

The organiser is responsible for communication with participants unless otherwise agreed.

5.1 Event IT’s role and liability

Event IT provides a technical platform for organisers and participants and is not liable for:

• cancellation of events
• the organiser’s bankruptcy or suspension of payments
• the quality or staging of events
• losses resulting from copied, lost or resold tickets

5.2 Third-party suppliers

The platform uses third-party suppliers for, among other things, hosting, payment solutions and communication.

Event IT is not liable for losses or errors caused by circumstances at these suppliers or other technical failures beyond Event IT’s control.

5.3 Operation and uptime

Event IT strives to ensure stable operation of the platform and aims for an uptime of at least 99% on an annual basis, excluding scheduled maintenance and circumstances beyond Event IT’s control.

6.1 Roles and responsibilities

Event IT processes personal data in connection with the use of the system.

The organiser is the data controller for information about participants, while Event IT acts as the data processor.

6.2 Processing of personal data

Personal data is processed in accordance with applicable data protection legislation.

Event IT’s total liability towards organisers and participants shall under no circumstances exceed the amount paid by the organiser to Event IT during the preceding 12 months.

Event IT is under no circumstances liable for indirect losses, including loss of business, loss of profit, loss of data or loss of goodwill.

Event IT cannot be held liable for failure to fulfil its obligations if this is due to circumstances beyond Event IT’s reasonable control.

This includes, among other things, natural disasters, war or terrorism, strikes or lockouts, power failures, outages at internet or hosting providers, or government intervention.

If a force majeure situation lasts for more than 60 days, either party may terminate the agreement without further obligations.

Event IT reserves the right to suspend or close an organiser account without notice if the system is used in breach of applicable law or these terms and conditions.

In such cases, Event IT may withhold payouts until the matter has been resolved.

All rights to the system, including software, design, functionality and content on event.it, belong to Event IT ApS or Event IT’s partners.

Organisers and users obtain only a limited right to use the system in accordance with these terms and conditions.

Event IT is entitled to assign its rights and obligations under these terms and conditions to a group-affiliated company or in connection with a sale of the business or the platform.

The organiser may not assign the agreement without Event IT’s written consent.

If a participant disputes a payment through their bank or payment provider, the organiser is responsible for the payment in question.

Event IT is entitled to set off the amount against the organiser’s outstanding balance or to invoice the organiser for the amount.

13.1 Monitoring of activity

Event IT reserves the right to monitor transactions and activity on the platform in order to prevent fraud, misuse and money laundering.

13.2 Measures in case of suspicion

In case of suspected illegal activity, Event IT may suspend an account or withhold payouts.

14.1 Changes to the terms and conditions

Event IT reserves the right to change these terms and conditions.

In the event of material changes, users will normally be given 30 days’ notice.

14.2 Reservation for errors

Event IT reserves the right to correct errors in prices, descriptions and features.

These terms and conditions are governed by Danish law.

Disputes between Event IT and organisers shall be settled by the Court in Aarhus (Retten i Aarhus) as the court of first instance.

For participants or consumers, disputes may also be brought before the relevant complaints bodies in accordance with applicable consumer protection rules.

If one or more provisions of these terms and conditions are declared invalid or unenforceable in whole or in part, this shall not affect the validity of the remaining provisions.

The remaining provisions shall remain in force to the fullest extent permitted by law.
